We may add our own information to your record. Examples include:

 

·        If you are vulnerable – this means you are more likely to come to some harm

·        If you have behaviour problems

When do we collect personal information about you?

 

·        When you apply to rent a home from us

·        When you apply to buy a home, or buy a share in a home, from us

·        While you are renting your home with us or receiving any other services from us

·        When you answer surveys or questionnaires

·        When you take part in competitions

·        When you request a repair or report a problem with your home

·        During telephone calls with staff notes are taken and some calls are recorded

·        If you apply for a job with us

     How we use your information  

We use your information to:

 

·        contact you and send information

·        keep your home in good condition and your neighbourhood safe and quiet

·        provide the right kind of services you need

·         make sure your payments are correct

·         check if you’re happy with our service

·         keep proper records

     Who can see your information?  

We limit access to your personal information to the people who need it to make sure you get the right services and support.

 

Sometimes we need to share your information with other organisations, for example:

·        contractors carrying out repairs

·        the local authority

·        another landlord if you are looking to move or exchange your home

Sharing sensitive information about you:

·        If we need to share information about you that is more private or sensitive, we will ask for your permission.

·        We will explain what we are sharing and why we need to share it. You can cancel your consent at any time.

Sometimes we have to share your information without your permission. This could be:

·        in an emergency

·        to prevent a crime

·        to keep a vulnerable person safe

·        to help make sure benefits are being paid properly

·        if you owe money to a company

How do we keep your information safe?

 

Westward staff are trained to keep your information safe and secure. We have rules and security in place to make sure your personal information is not:

 

·        lost

·        destroyed

·        used in the wrong way

·        seen by the wrong people

We will only keep your information for as long as we need to and then we will destroy it securely.
